Information We Collect

Candidate Information

When recruiters or staffing firms use JobTalk AI to conduct automated phone screenings, we collect information provided by or about candidates during those interactions. This may include: full name, phone number, email address, work history and experience, job preferences and availability, compensation expectations, responses to screening questions, voice recordings and transcripts of AI-conducted phone interviews, and sentiment analysis data derived from those conversations.

Recruiter and Client Information

When you create an account or use our platform as a recruiter, staffing firm, or employer, we collect: name, work email address, company name and role, billing and payment information, job descriptions and screening criteria you configure, ATS integration credentials (stored securely), usage data and platform activity logs.

Automatically Collected Data

When you visit jobtalk.ai or use our platform, we automatically collect: IP address and approximate geolocation, browser type and version, device type and operating system, pages visited and features used, referral URLs, and session duration and interaction data. We use cookies and similar tracking technologies to support these functions (see our Cookie Policy section below).

ATS and Third-Party Integration Data

If you connect JobTalk AI to your Applicant Tracking System (ATS) or other HR platforms, we receive candidate and job data shared by those systems. The data we access is limited to what is necessary to perform the services you request. We do not store ATS data beyond what is operationally required.

How We Use Your Information

Providing and Improving Our Services

We use the information we collect to operate and improve the JobTalk AI platform, including: conducting automated AI phone screenings on behalf of recruiters, generating candidate scorecards and screening summaries, scheduling interviews and coordinating calendars, syncing results to your ATS or HR system, and providing customer support and onboarding.

Communications

We may use your contact information to send transactional emails (call summaries, scheduling confirmations, account alerts), product updates and release notes, and responses to your support inquiries. You may opt out of non-transactional communications at any time.

Analytics and Product Development

We analyze aggregated, de-identified usage data to understand platform performance, identify bugs, and improve the quality of our AI models. We do not use individual candidate voice recordings to train AI models without explicit consent from both the recruiter and the candidate.

Legal and Compliance

We may process your data to comply with applicable laws and regulations, respond to lawful requests from government authorities, enforce our Terms of Service, and protect the rights, safety, and property of JobTalk AI, our users, and the public.

How We Share Your Information

With Recruiters and Employers

Candidate data collected during JobTalk AI screening calls — including transcripts, scorecards, and recordings — is shared with the recruiter or employer who initiated the screening. Candidates are informed they are speaking with an AI prior to the start of each call.

Service Providers

We share data with trusted third-party service providers who assist in operating our platform, including cloud infrastructure providers, telephony and voice AI providers, payment processors, analytics tools, and email delivery services. All service providers are bound by data processing agreements and are prohibited from using your data for any purpose other than providing services to JobTalk AI.

Business Transfers

If JobTalk AI is acquired, merges with another company, or undergoes a similar business transaction, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on our website before your data is transferred and becomes subject to a different privacy policy.

Legal Requirements

We may disclose your information if required to do so by law, subpoena, court order, or other governmental authority, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

We Do Not Sell Your Data

JobTalk AI does not sell, rent, or trade personal information to third parties for their marketing purposes. We do not engage in data brokerage.

Voice Recordings and AI Interviews

Consent and Disclosure

All candidates who receive a JobTalk AI screening call are informed at the start of the call that they are speaking with an AI recruiter and that the call may be recorded. Continuation of the call constitutes consent to recording in jurisdictions where single-party consent applies. In all-party consent jurisdictions (e.g., California), recruiters using JobTalk AI are responsible for ensuring compliant call disclosures.

Retention of Recordings

Voice recordings and transcripts are retained for a default period of 12 months from the date of the call. Recruiter clients may configure shorter retention periods. After the retention period, recordings are permanently deleted from our systems. Transcripts may be retained in anonymized form for platform quality analysis.

Candidate Access

Candidates who wish to access, review, or request deletion of their voice recording or transcript may submit a request to privacy@jobtalk.ai. We will respond within 30 days. Deletion of a candidate's recording does not affect the scorecard or summary that has already been shared with the recruiter.

Data Security

Security Measures

JobTalk AI employs industry-standard security practices to protect your data, including: TLS/SSL encryption for all data in transit, AES-256 encryption for data at rest, role-based access controls and least-privilege principles, regular third-party security audits and penetration testing, and SOC 2 Type II compliance (in progress).

Data Breach Notification

In the event of a data breach that affects your personal information, we will notify affected users within 72 hours of discovery, as required by applicable law. We will provide details about the nature of the breach, data affected, and steps we are taking to remediate the issue.

Your Responsibility

You are responsible for maintaining the security of your account credentials. Do not share your password with others. If you suspect unauthorized access to your account, contact us immediately at assist@jobtalk.ai.

Your Privacy Rights

GDPR Rights (EEA Residents)

If you are located in the European Economic Area, you have the right to: access the personal data we hold about you, correct inaccurate or incomplete data, request erasure of your data ('right to be forgotten'), restrict or object to processing of your data, receive your data in a portable format, and lodge a complaint with your local data protection authority. To exercise these rights, contact privacy@jobtalk.ai.

CCPA Rights (California Residents)

California residents have the right to: know what personal information we collect, use, disclose, and sell; request deletion of personal information we have collected; opt out of the sale of personal information (we do not sell personal information); and not be discriminated against for exercising your privacy rights. EEOC and Fair Hiring Compliance

JobTalk AI is designed to support compliant hiring practices under EEOC guidelines. Screening criteria are configured by the recruiter and should not include protected characteristics. All AI screening sessions are logged and auditable. We provide bias detection reports to help clients maintain fair and legal hiring practices.

Do Not Call Registry

Before initiating any outbound call, JobTalk AI checks the national Do Not Call (DNC) registry. Numbers on the DNC list will not be contacted. Recruiters are responsible for ensuring candidate consent to be contacted prior to using the platform for outbound calling campaigns.

Cookies and Tracking

Cookies We Use

We use essential cookies required for the platform to function (session management, authentication), analytics cookies to understand how users interact with our website, and preference cookies to remember your settings (such as theme preference). We do not use advertising or cross-site tracking cookies.

Managing Cookies

You can control and delete cookies through your browser settings. Disabling essential cookies may affect the functionality of the JobTalk AI platform. You can also opt out of analytics tracking by enabling the 'Do Not Track' setting in your browser.

Children's Privacy

JobTalk AI is a business platform intended solely for use by adults (18+) in a professional recruiting context. We do not knowingly collect personal information from individuals under the age of 18. If we become aware that we have inadvertently collected data from a minor, we will delete it promptly. If you believe a minor's data has been submitted through our platform, please contact us at privacy@jobtalk.ai.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal obligations. When we make material changes, we will notify you by updating the "Last Updated" date at the top of this page and, where appropriate, by sending an email to the address associated with your account.
